GENERAL

Now in its 12th year, the 2019 Evolution Asia Yoga Conference is Asia's leading annual yoga event, bringing together renowned presenters from across the world.
This year's conference will be held from June 13th-16th, 2019 at the Hong Kong Convention and Exhibition Centre (HKCEC) at Convention Hall, Level 1 - South Wing/ Phase 1/ Old Wing. Please refer to our About page for opening hours.
The general admission is free and open to the public; no prior registration will be required. This includes access to the yoga exhibition areas, lounge and open areas, cafeteria, as well as our free events, shows, and community events. For all other classes, lectures, workshops, and training, please register accordingly.
Please bring the following:
Photo ID (or photocopy of it with your name that matches your registration)
Yoga mat
Towel
Water bottle for water (water dispensers are available throughout the venue)
Props you use or for classes required
Light jacket or shirt (as classes are air-conditioned)
Small notebook and pen for taking notes
We have the following facilities in place:

Cafeteria
Car park
Free WiFi internet access
Restrooms
Water fountains
Exhibition marketplace (purchase yoga accessories, mats, props, etc.)
Unfortunately, we do not have showers, lockers, or changing rooms onsite. Thank you for your understanding.
Our community events are free and open to the public with plenty of activities. General admission is open to the public and children of all ages; however, children must be over the age of 14+ to attend workshops, events or classes (unless specified for kids or families).
Yes--the Asia Yoga Conference caters to practitioners of all levels, and is a safe practice ground. The yoga classes are categorized by level, as well as yoga types. You can view the level and type of each class in our Programme Schedule here. During your practice, if you experience any pain or discomfort, please listen to your body and rest or ask for the instructor's guidance.

Unfortunately, we do not allow any outside food vendors or stalls at the conference due to the venue's strict policy. The HKCEC has options for dining and restaurants in the vicinity, and our event also has a cafeteria serving vegan, vegetarian and healthy food options for the duration of the event.

REGISTRATION

Registration is made easy through our website. Please refer to our Registration page for more details.
This will depend on which pass you purchase. Our community events are free and open to everyone. For more information, please visit our Pricing page.
Once you have created an account and purchased your pass, this enables you to sign up for classes during the registration stage, or through your online account anytime before 12 June, 2019 11:59pm.
Once you have created an account, this enables you to access online class changes free of charge until 12 June, 2019 11:59pm. Onsite class changes will be charged at HK$100 per change visit. Please note: class changes will not be allowed online after 12 June 2019, 11:59pm as login will be closed.
Once the conference commences on 13 June, 2019 at 6:30am, please check-in and collect your badge at the onsite registration desk during opening hours. For more details on early badge collection (optional), please visit here.
No replacements, credits or refunds will be provided for lost or stolen badges, please handle with care.
The types of classes are categorized into lectures, workshops, half-day intensives, all-day intensives, and community events with varying times and duration. Please check out our Programme Information page for more details: 
As we have maximum mat space for each workshop, you will need to book another class. We encourage students to reserve their mat space early for this reason as our worshops get booked fast!
Are you having trouble narrowing down which classes to sign up for? Try our export function that allows you to tag and save your top picks. With an exported file, you can always go back and decide later.
Should you have a group of 15 people or more, there is a group discount of 10%. If you have a community, you may consider our Partnership Program which includes commission and free pass incentive. Please email miya@asiayogaconference.com for more details.
Your name on registration must match with one you will be using PHOTO ID to pick-up our badge onsite. For name update request, please email us at ayc@asiayogaconference.com with your registration ref. code and the name you need update to.
There is not transfer allowed. You will need to request for a refund, or if it's past our refund deadline, a credit note can be issued.

PAYMENT

If you register before the early-bird deadline ends on April 15, 2019, you can save over 30%! Our 4-day Pass starting at HK$3,990 allows you to register up to 16 workshops (average HK$249 per workshop) – the best value.
We accept credit card payments (Visa or Mastercard), Paypal, or Alipay.

Please ensure that your credit card information was entered correctly, including your name, number, and CVC code. A credit card can be declined for a variety of reasons; please contact your card issuer's customer service phone number on the back of your card to resolve any suspected issues.
Online payment is the fastest way. If not, you can send us an email to ayc@asiayogaconference.com for a Bank Transfer Request form. Please fill this out and send back to the same email. Once we have received your payment, we can send you a promocode for registration. The form can also be downloaded HERE.

CANCELLATION & REFUND

We can issue a full refund before April 15, 2019. We have a strict no refunds policy after this date. All refunds are subject to a $200 processing fee that will be deducted from your refund. Cancellations and refund requests must be submitted in writing to ayc@asiayogaconference.com.
Event Cancellation & Refund Policy for Registration 
In the unlikely event that Asia Yoga Conference cancels the whole event, or in the occurrence of a Force Majeure event if proved, or by Adverse weather conditions (e.g. Typhoon Signal No. 8), participants are entitled to a refund of the amount received from AYC, less direct costs such as bank transfer and payment fees. Refunds will be processed after the event. Please allow 4-8 weeks of processing time.  
 
Whole Event Cancellation 
In the case that all 4 days of the event be cancelled due to Force Majeure, participants are entitled to a full refund of the amount paid for their pass(es) or program (less any direct costs such as bank fees, transfer fees, etc.)
 
Partial Event Cancellation 
Participants will be entitled to a partial refund of their pass(es) based on the number of days and/or hours that the event was cancelled. Refund will be based on the number of sessions that were cancelled due to the cancellation period. Cancellation period will be based on closing times announced by AYC through Facebook, Instagram, Website, WeChat and re-opening times.

Asia Yoga Conference is absolutely committed to the protection of privacy and to fully implementing and complying with the relevant provisions of the Personal Data (Privacy) Ordinance. Please refer to our Privacy Policy for more information.
You can not delete your account. Your account can be deactivated and deleted only through request if you are not active or regsitered in our system, and or has been issued a refund and you want all personal details off. Please send us this request to ayc@asiayogaconference.com

Please be advised: our program and teachers are specially curated based on program needs. We also have a process of rostering teachers to ensure they meet our quality standard requirements and workshops we need. However, all requests for faculty will be welcomed! Please send all details with bio and reference of workshops so we can keep on file and review between August - October. Due to high volume of enquiries, only faculty we are interested in will be contacted.

If attending classes is your objective or if you cannot make the necessary commitment, volunteering may not be the right option for you.
We request that volunteers be available for at least 2-days for volunteer or minimum 18 hours. Plesase visit our Volunteer page for more information.

EXHIBITORS

Thank you for your interest in joining the Asia Yoga Conference as an exhibitor. For more information or to discuss your particular requirements, please email us at info@asiayogaconference.com or visit our Exhibitions page.
All exhibitor applications must go through HKCEC approval: they have a strict review process to assess the fit and relevance. If you are not a yoga-brand, we do request that you still submit an online application and we will help facilitate the approval process.
Insurance for your booth is compulsory by the venue; otherwise, you will not be permitted to exhibit.
No, insurance must be secured and confirmed prior to the conference.
We can suggest a third party insurance provider who can offer the necessary insurance converage. Further details will be given once your exhibitor application has been approved.
Unfortunately, no. There are high costs associated with the venue rental. Asia Yoga Conference selects one charity partner annually to support and promote. We do welcome enquiries and would love to hear and keep records of your charity. Please submit your information to miya@asiayogaconference.com so we can stay in touch.
No, all exhibitors must rent their booth or table for the entire duration of the conference.
No, each exhibitor must have their own booth or table.
We are unable to receive delivery of any goods on behalf of exhibitors. The Official Freight Forwarder for the Conference can assist exhibitors with logistical needs. Further details will be provided once your exhibitor application has been approved.
Exhibitors are required to keep all items stored within the confines of their booth or under their table. No additional storage facilities are available for exhibitors.
Asia Yoga Conference will provide general overnight security in the exhibition hall during closing hours. Neither HKCEC nor Asia Yoga Conference can accept responsibility of the booths and their contents or damage to and theft of any goods. Exhibitors are responsible for the security of their stand and equipment. Individual stand security may be ordered through the Official Contractor.
Exhibitors are responsible for arranging their own staff to manage their booth or table.
The exhibitions marketplace is primarily targeted towards retail businesses offering goods and services to conference attendees and members of the public. We do not formally offer a wholesale marketplace. However, many attendees are yoga teachers and studio owners and managers, so wholesale opportunities can organically arise.
Booths and table are allocated on a first-come-first-serve basis. We regret if your chosen booth is not available as many booth and table locations are in high demand and may have already been allocated to other exhibitors. Kindly select from the remaining available booths.
Furniture, fixtures, lighting and electricity supply can be ordered from the Official Contractor for the Conference. Further details will be provided once your exhibitor application has been approved.
Unfortunately, we do not allow any outside food or food vendors due to the venue's strict policy.
Only products or services listed on the Exhibitor’s Form may be displayed by the exhibitor. Permission to display products not listed on the Exhibitor’s Form must be obtained in writing from Asia Yoga Conference. Asia Yoga Conference reserves the right to remove from the exhibitor’s exhibit space any items that are not listed on the Exhibitors Form and which do not have Asia Yoga Conference’s management approval.

OTHER

The certificate will display your registration name and the classes you have attended. Pre-order your certificate now for only $100 during registration, or onsite for $200 and post-event for $250 (plus mailing fee if applicable). No refunds will be issued for pre-orders or certificate orders; only credit will be issued. For participants who pre-order, further information will be emailed prior to the event. Details will also be made available onsite.
